The client’s Finance Team wanted better functionality in reports and improvement in their processes for financial reporting.

  • For two days Kathy McWhorter worked with the James Martin and Associates team to analyze everything from their Purchasing to their End Of Month (EOM in Aspire) processes.
  • As a result, a list of more efficient methods for utilizing the Aspire – Microsoft Dynamics GP accounting interface practices and procedures were adopted.  
  • This list includes training for production so that field and job prep data would be more accurately created the first time reducing mistakes and the associated EOM clean up once required.

The Follow-Up

  • The Aspire and James Martin and Associates follow-up includes a punch list of new SOP’s (Standard Operating Procedures – Best Practices).

In this case, Schill Landscaping uses the Aspire landscape business management software.

Before the DEEP DIVE analysis conducted by Aspire, the Executive team had a need to know if they were, and if they were not, could they could achieve this goal.

The Follow-Up

Aspire is more than simple transactional software. It is a landscape business workflow that when employed as designed delivers best business processes and practices.

After two days, the results: improved reporting for job cost and financials as well as simplification of process steps in purchasing and contract set-up (estimating) that save time and produce more accurate numbers.

Aspire Account Manager – Travis Wills – traveled to the Community Green Group http://www.communitygreengroup.com to set up and train their team on the estimating system in the Aspire landscape business management software system.

This is a critical step in deploying the system since everything in contracting starts with the estimate.

Present were: Branch Managers, Office Staff and the General Manager.

Aspire trained Green Community Group’s Branch Managers, Office Staff and the General Manager on the Aspire Estimating System.

The Community Green Group team:

  • Completed the setup and testing of the Contract Maintenance Estimating Template
  • Identified service groups for reporting gross margins.
  • Built takeoff items and production rate kits for bidding.
  • Standardized production factors across all branches
  • Updated material usage rates and types of chemical application programs

The Results

The Community Green Group team learned:

  • A process for entering existing contracts into Aspire was defined and allocated amongst the Team.
  • A best practice for managing variances between Aspire and existing system estimates and kits.

Community Green set the bar high with a great meeting space. Afterward, they scheduled weekly training to build on the excitement built during Aspire’s 2-day on-site visit.

Jon Gohl, Senior Aspire Account Manager, completed the setup and training work for Sales Management with the team at Creative Image Landscaping.  

Jon emphasized the importance of:

  • Managing the sales pipeline from prospect to close and setting up easy to use reports.
  • Setting up sales rep “report cards”.
  • Estimating and pricing by profit center and service line… as the Aspire landscape business management software provides great flexibility and power in producing a profitable and “competitive” bid.
  • Defining “kits” with production factors for pricing consistency, estimating speed, and accuracy in production hours and material quantities.
  • Creating a contract maintenance “bidding template” integrating pricing, items, services, contract language and formats, and take-off measurements – now in one place and linked to production scheduling.

Creative Image Landscaping team is very satisfied (and Proud) with their new CRM and Estimating system having a new way to manage sales in ONE PLACE.
